Running the Day’s Payments

The Due to run list, approving and declining, and moving, cancelling or reversing payments.

Due to Run

  1. Dashboard → Payments. Due to run lists every scheduled payment for today or earlier.
  2. With card processing on, payments with a saved card or bank account run on their own every 15 minutes from 9:00 AM. Charge Now runs one; Charge All Due runs the rest.
  3. Payments with no saved card or bank account: run each one in your merchant portal, then click Approved or Declined on its row.
  4. Or click Run today’s payments to go through them all, then Finish run.
Good to Know
  • Declined payments put the account on today’s Call Backs so someone calls the debtor.
  • At the end of a run you get a summary of what went through and what to call on.

All Payments

Below the due list, pick a date range (Today, This week, This month, Next 30 days or your own dates) to see every payment, with totals posted, still scheduled and declined.

Scheduled payments have Move (new date or time) and Cancel. Admins can Reverse a posted payment, for example after an NSF; the amount goes back on the balance and the account goes on Call Backs.

CollectionsMax Payments

If you’re still using CollectionsMax, payments that came over from it show as read-only: they’re still run in CollectionsMax, so nothing is charged twice. The CollectionsMax payments (live snapshot) view shows what’s still to run there, by week, month and year.
