Taking a Payment
One-time payments, payment plans, scheduling, and who gets credit.
Before You Start
If your admin connected card processing (Payments → Card Processing, with your NMI gateway keys), TraceForge charges the card or bank account itself. If not, it records the payment and you run it in your merchant portal as you do today.
With card processing on, Take Payment shows the debtor’s saved cards and bank accounts, or secure fields to add a new one. Tick that the debtor authorized the charge. A payment for today is charged right away; later ones run on their date. Card and bank numbers go to NMI’s vault and TraceForge never stores them.
A One-Time Payment
- Open the account and use Take Payment on the right.
- Enter the Amount and pick the Method (Card, ACH or Check).
- Leave Schedule on One-time and pick the Charge date.
- Pick the Closer credit (required).
- Click Post (for today) or Schedule (for a later date).
- A payment posted today lowers the balance right away.
- Run at a set time is optional. Leave it blank and the payment shows in the 9:00 AM run.
A Payment Plan
- In Schedule, pick Weekly plan, Bi-weekly plan, Monthly plan or Custom schedule.
- Enter the Amount per payment, the Start date, and the Number of payments (or Until paid in full).
- For Custom schedule, add each date and amount with + Add payment date.
- Check the list of dates and the total, pick the Closer credit, and save.
- You’ll get a warning if the plan adds up to more than the balance.
- A new plan replaces the account’s current plan and cancels its remaining scheduled payments.
- Plans and future payments move the account to Payment pending, so it shows in Promises.
Send a Pay Link
- Open the account and click Send Pay Link on the right.
- Enter a suggested amount if you want (the debtor can change it, up to the balance).
- Email it, or click Make Link and Copy to send it yourself.
- The debtor confirms their birth date or the last 4 of their SSN, then pays by card or bank account.
- The payment posts to the account by itself, with a note, and you get closer credit.
- A link is good for 14 days and one payment. It locks after 5 wrong identity tries.
- If the debtor asked not to be emailed (marked in Letters), TraceForge won’t email them a link.
- The links sent on an account, and whether each was opened or paid, are listed at the bottom of the dialog.
Who Gets Credit
The closer you pick gets closer credit. Point Caller credit goes automatically to the last Point Caller who worked the account. Reassigning the account later doesn’t move credit.
